Features
Tools for the work behind freight sales.
Relevant freight outreach, informed by research and controlled by the broker. SendPilot brings research, reasoning, drafting, follow-ups, and replies together for the prospects you bring.
CSV prospect import
Bring your own prospects by CSV with column mapping and duplicate protection, or add leads one at a time. SendPilot doesn't provide a shipper database or find contact emails.
- Works within your plan's monthly lead limit
- Duplicate emails within a workspace are skipped
- Addresses on your suppression list aren't added

Shipper and company research
For each lead, SendPilot reads the company's public website, starting with the homepage and up to four relevant pages such as products, locations, or about. It organizes what it finds into research you can read on the lead.
- Works in a queue, with retries on failed site fetches
- Checks that the site appears to belong to the company
- Says so when a site blocks access or offers little

AI Sales Strategist
Before anything is written, the Strategist decides what's worth saying to this company: whether there's a meaningful research hook, what to offer, and what must not be assumed. The result is a short Sales Brief. It has no separate screen.
- Runs on Campaign-linked first emails
- Limited research leads to a plain introduction, not an invented reason
- Holds when identity is inconsistent or the company clearly can't be served
AI Writer
The Writer turns the brief into a first email written for one recipient, then the result is reviewed by you. Follow-up drafts come from the Campaign's context.
- Built from the Sales Brief and your Campaign's sender details
- A failed check holds the email rather than sending it
- First emails without usable text aren't stored as drafts

Sender capabilities
You tell each Campaign what your brokerage can actually offer. That list is a hard boundary for the AI, not a suggestion, and generation won't start without it.
- Dry Van, Reefer, Flatbed, Step Deck, Conestoga, Hotshot, Box Truck, Sprinter, LTL, Drayage, Rail/Intermodal, OD, Car Hauling
- Optional service area and a list of things never to claim
- Needs a sender identity: a connected mailbox name or a saved signature

Factual and authorization safeguards
The finished email is checked before it reaches you. These checks reduce risk, but they don't make AI flawless, which is why review matters.
- Unauthorized services are caught
- Unsupported claims about lanes or shipment frequency are caught
- A failed email is held or never stored as a draft
Draft approvals
AI drafts wait in the Approval Queue, where you can read them, edit them, approve them, or reject them, one at a time or in a batch. Drafts flagged for review and leads that are suppressed or bounced can't be sent.
- Manual review and assisted sequences require approval
- An optional auto sequence can send without per-email review. It's labeled high risk, and flagged drafts still stop
- Free Preview never sends

Campaign management
A Campaign keeps its leads, research, drafts, sender mailboxes, services, verification choices, and sending settings together, so running a new segment doesn't mean rebuilding your process.
- Starter includes 3 Campaigns, Pro includes 15
- Pause a Campaign at any time
- Multiple workspaces are available on Brokerage

Follow-up sequences
Choose a template or build your own: research, first email, approval, waits, conditions, and follow-ups. Sequences stop on a reply, bounce, unsubscribe, or not-interested response.
- Templates: Manual Review, Assisted, Auto with Safety Checks, First Email Only
- AI drafts follow-ups from the Campaign context
- Paid plans only for sending

Sending controls
Set sending days and hours, daily and hourly limits for each Campaign, and limits for each mailbox. Campaigns with no settings fall back to safe defaults of 50 a day and 10 an hour.
- Pacing between messages from one mailbox
- Automatic pause at your bounce threshold, 5% by default
- Suppression list, unsubscribe handling, and email verification credits

Reply classification
Replies to your outreach are matched to the original email and classified: Interested, Asked for rates, Wants a call, Asked for more information, Wrong person, Referral, Not interested, Already has provider, Bad timing, Out of office, Unsubscribe, or Manual review needed.
- Explicit opt-out replies go on the suppression list
- A reply stops the follow-ups for that lead
- Available on paid plans with a connected inbox
Activity and reporting
See what happened and what needs attention: sent email, replies, positive replies, and bounces by Campaign and mailbox, plus a task list and lead-level history.
- Positive replies can create tasks and opportunity records
- Opportunity values are what you enter, not predictions
- Analytics are available on paid plans
Try the workflow on your own prospects.
