FAQ

Straight answers about SendPilot.

What it does, what it doesn't, and how it handles your data.

What is SendPilot?

SendPilot is an AI cold email and sales outreach platform built for freight brokers and logistics sales teams. It helps you turn your own prospect list into research-informed outreach, combining company research, commercial reasoning, email drafting, campaigns, follow-ups, and reply handling.

Is SendPilot built for freight brokers?

Yes. Its AI reasoning, sender settings, and vocabulary are built around freight brokerage, including services such as dry van, reefer, flatbed, and LTL. It also suits independent freight agents, 3PL sales teams, and logistics business development professionals.

Is SendPilot just a cold email sender?

No. Sending is one part of the workflow. SendPilot is designed to help brokers research prospective shippers and prepare commercially relevant introductions, then manage campaigns, follow-ups, and replies.

Can SendPilot find shippers for me?

SendPilot is currently designed to work with prospect lists you provide. You can import contacts and use its AI tools to research companies, prepare outreach, manage campaigns, and follow up. It does not currently provide a general-purpose database of verified shipper contacts.

How to get shippers and customers

Does SendPilot provide contact email addresses?

No. You need to supply your own contacts. SendPilot doesn't find or sell email addresses. Email verification credits on paid plans can help you check addresses you already have.

How to reach shipping and logistics managers

Can I upload my own prospect list?

Yes, by CSV. You map your columns during import, duplicate email addresses within a workspace are skipped, and suppressed addresses aren't added. Free Preview supports up to 10 leads. Starter includes 500 leads a month and Pro includes 2,500.

How does SendPilot research shippers?

It reads the company's public website: the homepage and up to four relevant pages, such as products, locations, or about. AI then organizes that into research on the lead and separates stated facts from observations.

Research has limits. Sites can block access or say very little, and public websites can be out of date. When research is thin, SendPilot says so rather than filling the gap.

How AI can help research shippers

Does SendPilot know a shipper's freight lanes or transportation needs?

No. Public company information does not automatically reveal a shipper's private lanes, volumes, existing carriers, or current transportation requirements. SendPilot is designed to help create relevant outreach without presenting assumptions as verified facts.

How does the AI Sales Strategist work?

For each prospect, it looks at the available research, the recipient's role, and the services your Campaign is authorized to offer. It then decides whether there's a meaningful reason to reach out, what to offer, and what the email must not assume. If research is limited, the result is a clear, honest introduction rather than an invented reason.

It works behind the scenes and can make mistakes, which is why drafts are there for you to review.

Can it generate freight broker cold emails?

Yes. The AI Writer drafts a first email for each lead in a Campaign, from the research and the Strategist's decision. The result is checked for unauthorized services and unsupported claims. If a usable email can't be produced, no draft is stored. It also drafts follow-ups.

Can I review emails before sending?

Yes. Drafts go to the Approval Queue, where you can edit, approve, or reject them. Manual Review and Assisted sequences require approval before anything sends.

SendPilot also offers an optional sequence template, Auto Outreach with Safety Checks, that can send without reviewing each email. It's labeled high risk and only applies if you choose it. Drafts flagged for review and suppressed addresses are still blocked.

Can SendPilot manage follow-up sequences?

Yes. You can use a template or build your own sequence with waits, conditions, and follow-up emails. Sequences stop on a reply, bounce, unsubscribe, or not-interested response. Sending follow-ups requires a paid plan.

How does reply classification work?

Replies from your connected mailbox are matched to the original outreach, then AI classifies them as Interested, Asked for rates, Wants a call, Asked for more information, Wrong person, Referral, Not interested, Already has provider, Bad timing, Out of office, Unsubscribe, or Manual review needed. Explicit opt-outs go on the suppression list, and positive replies can create tasks. It's available on paid plans.

Does SendPilot guarantee customers or loads?

No. SendPilot supports prospecting and outreach workflows, but it can't guarantee replies, meetings, customers, loads, or income. Results depend on who you target, what your brokerage offers, and the recipient's interest.

Can SendPilot help me grow my brokerage?

It can help with one part of growth: researching prospects and preparing and managing outreach. It doesn't handle rates, margins, carriers, load execution, or customer service, which matter just as much.

How to grow a freight brokerage

Can independent freight agents use SendPilot?

Yes. The Starter plan includes one connected inbox and suits many solo agents. It can reduce research and drafting time on a list you provide. Check with your brokerage about how you represent it and which mailbox you use.

What mailbox integrations are currently available?

On paid plans you can connect Gmail or Google Workspace and Outlook or Microsoft 365 through their own authorization screens to send email and detect replies. Free Preview doesn't connect an inbox.

Email Permissions

Is SendPilot available for industries other than freight?

SendPilot is currently optimized for freight brokerage and logistics sales. Support for additional B2B industries is planned and not released. Its interface and outreach are built for English-language sales in the U.S. market.

How does SendPilot handle email permissions and data?

SendPilot accesses a connected mailbox only after you authorize it, and uses that access to send authorized email, identify replies, classify them, and manage follow-ups. It doesn't sell mailbox data. The pages below give the full details, including retention, deletion, disconnecting an account, and third-party processors such as OpenAI.
