AI cold email & freight sales outreach

Know your shipper. Know what to say.

SendPilot helps freight brokers turn their own prospect lists into relevant outreach. Research shipper companies, develop freight-specific sales angles, and write personalized emails with AI.

Bring your own prospects. SendPilot helps you research, write, follow up, and manage replies.

The hardest part of freight sales isn't sending the email.

It's figuring out who you're contacting, what their business actually does, and whether you have something relevant to offer. Most outreach tools help you send more messages. SendPilot is designed to help you prepare better ones.

It starts with your own prospect list.

Import your contacts by CSV and add them to a Campaign that knows what your brokerage offers. SendPilot works from the list you provide.

02

Understand the business before you start the conversation.

SendPilot researches publicly available information about prospective shippers and organizes useful company context for your outreach. Instead of starting every introduction from a blank page, you can see what the prospect does and what may be relevant to your freight services.

03

Facts stay separate from guesses.

Commercial relevance is inferred from supported facts, not from private freight data. When a website says little, the research says so.

Research gives you context. It doesn't pretend to know a shipper's private transportation operations.

04

A reason to reach out. Not just a personalized greeting.

Knowing a company's name and industry isn't enough to make a freight introduction relevant. SendPilot's AI Sales Strategist uses available research and your authorized transportation services to help identify a practical commercial approach before drafting the message.

The Strategist works behind the scenes and has no screen of its own. This is the real setting that limits it: the services your brokerage has authorized.

05

Turn research into a freight conversation.

SendPilot's AI Writer builds the first email around the selected sales approach, using supportable company information and the services your brokerage actually offers. The goal isn't a longer email or more superficial personalization. It's a clear introduction that makes sense for the recipient.

AI prepares the outreach. You stay in control.

Review drafts, check the message, and manage your outreach through SendPilot's approval and campaign workflow. You decide what represents your brokerage before it goes out.

Drafts wait for your approval unless you deliberately choose a sequence that sends automatically.

The AI Sales Strategist

Relevant research when it's available. Honest introductions when it isn't.

The Strategist doesn't force a hook. It works from your Campaign's authorized services and whatever public research supports.

When research gives a reason

The email uses it. A specific fact about the company connects to a service you actually offer, and nothing else is assumed.

When research is thin

The email stays a clear introduction: who you are, what you arrange, and a simple question. It doesn't invent a reason to write.

What a first email looks like

One checkable fact. One service you offer. One easy question.

The email says only what the research supports. Lanes, volumes, and current carriers stay unknown until the shipper tells you.

What the company's website says

  • Makes frozen bakery products
  • Has plants in Ohio and Indiana

What the Strategist decides

  • Reason to write: frozen products make reefer a fair topic
  • Offer: reefer truckload, which this brokerage has authorized
  • Don't assume: lanes, volumes, or current carriers

The first email

Subject: Reefer option for Alder Creek

Hi Dana,

I saw that Alder Creek makes frozen bakery products at plants in Ohio and Indiana. We're a freight brokerage that arranges reefer truckload.

If you ever want another option to compare when a load comes up, I'd be glad to quote it. Are you the right person to ask, or is someone else?

Freight first

Built for the way freight brokers prospect.

A food manufacturer, a packaging supplier, and a metal fabricator won't always need the same transportation conversation. SendPilot is designed to account for those differences when helping brokers prepare outreach.

Food & beverage
If a company's own site shows frozen or refrigerated products, temperature-controlled service may be worth raising, provided your brokerage offers it.
Building materials
Product context such as lumber, steel, or roofing can make open-deck services a reasonable topic where you're authorized to offer them.
Manufacturing
What a plant makes shapes the introduction, whether that's finished goods, components, or equipment. Volume and lanes stay unknown until you ask.
Packaging
Knowing a supplier's products and sites helps you introduce your brokerage specifically, without assuming how those products ship.
Plastics
Resin, film, and molded products describe different businesses. Research helps you avoid the one-size-fits-all introduction.
Industrial distribution
Distribution footprints can be a starting point for a conversation, never proof of a route or an open need.

Examples of prospect types brokers may research. They aren't a list of customers.

What makes it different

More than cold email automation. Built for freight sales.

SendPilot is

  • Cold email and outreach software built for freight brokers
  • AI research and drafting tied to your authorized services
  • An approval and campaign workflow for your own mailbox

SendPilot is not

  • A shipper lead database or a source of contact emails

Security and control

Your mailbox stays yours.

SendPilot connects to Gmail, Google Workspace, Outlook, or Microsoft 365 only after you authorize it, and only to provide the outreach features you use.

How inbox connection works

Connect your email account to enable SendPilot to automatically send outreach emails to your leads and process incoming replies, all on your behalf. Drafts go through your approval before sending unless you choose an automated sequence, and replies are automatically classified and surfaced for you.

Permissions with a purpose

Mailbox access is used to send emails you authorize, detect replies, classify them, and manage follow-ups.

Disconnect anytime

Disconnecting revokes authorization where the provider supports it, deletes stored credentials, and purges stored message content for that connection.

Tokens stay on the server

Access and refresh tokens are stored on the server side and never exposed to the frontend.

No selling mailbox data

SendPilot doesn't sell mailbox data or use Google user data for advertising. Google Workspace API data isn't used to train generalized AI models.

Suppression and opt-outs

Unsubscribes, explicit opt-out replies, and hard bounces go on a suppression list that blocks further sending.

AI processors, disclosed

AI features use third-party providers, including OpenAI, to process the minimum information needed for the feature you requested.
